Cost guide · Australia

What AI automation really costs a small business in Australia.

A build price is only half the answer. This guide separates the one-off build from the monthly running costs, shows the ranges Australian providers publish, and gives you a worked example you can change.

Build prices

What Australian providers publish

Each figure is the provider’s own published range. They are not SIX9 prices, and each provider defines “a workflow” a little differently — use them as a sense of scale, not a quote.

Price drivers

What moves the price up or down

Two projects that both “automate enquiries” can differ by thousands of dollars. These are the reasons.

  1. How many systems connect
Each connection needs access, testing and error handling. A tool without a usable integration or API may need a workaround or a different tool.
  2. How many steps and branches
A straight line is cheap. Different paths for different enquiry types, suburbs or urgency levels take longer to build and test.
  3. The state of your data
Duplicate contacts, free-text fields and spreadsheets with inconsistent columns often need cleaning before anything can be automated reliably.
  4. What the AI has to do
Sorting a short email into a category is simple. Reading attachments, invoices or referral documents accurately takes more design and testing.
  5. How exceptions are handled
What happens when the AI is unsure, a tool is down or a field is missing? Good builds send these to a person instead of failing silently.
  6. Privacy and security requirements
Health information, client records and financial data need tighter controls on what is sent where, who can see logs and how long data is kept.

Running costs

The monthly costs after launch

These are billed by each provider to the account holder — ideally your business — and continue for as long as the automation runs.

Cost lineHow it is billedWhat to check
AI usagePer token (roughly per chunk of words) sent to and returned by the modelVolume per month, length of each item, which model is used, and whether retries or extra calls happen
ZapierBy tasks — each successful action stepTasks per month on your plan (Zapier pricing)
MakeBy credits — one credit per standard module run; AI modules and code can use moreCredits per month on your plan (Make pricing)
n8nCloud plans by workflow executions; can also be self-hostedExecutions per month, or hosting and maintenance if self-hosted (n8n pricing)
HostingMonthly, for self-hosted tools or custom codeWho applies updates and security patches, and where data is stored
SupportOptional retainer or quoted changesWhat is monitored, how fast issues are fixed and what counts as a change
Platform prices change often, so the links above go to each official pricing page rather than quoting a figure that will date.

Worked example

One enquiry workflow, costed

An illustration with stated assumptions, not a quote. Your own volumes and model choice will change the figures.

A trades business receives 300 website enquiries a month. Each one is summarised and categorised by an AI model: about 1,000 tokens in and 300 tokens out. At illustrative rates of US$1 per million input tokens and US$5 per million output tokens, the AI usage comes to about US$0.75 a month — 300 × (1,000 × $1 + 300 × $5) ÷ 1,000,000.

At this volume a paid automation platform plan would usually cost more each month than the AI itself, and the build is the largest cost overall. That is common for small volumes, and it is why a quote should always show build and running costs on separate lines.

Larger models, long documents, images or several AI calls per enquiry can raise usage by orders of magnitude. Always check the current rates on your provider’s pricing page.

Build or subscribe

A one-off build or a managed subscription?

Some Australian providers sell automation as a weekly or monthly managed service with little or no upfront cost. Neither model is better in every case.

A managed subscription can suit you if…

  • You want no upfront cost and one predictable bill.
  • Your workflows change often and you want someone else to keep adjusting them.
  • You are comfortable with the provider holding the accounts, as long as the exit terms are clear.

A one-off build can suit you if…

  • The workflow is stable and you want to own it outright.
  • You prefer to hold the platform and AI accounts in your own name.
  • You would rather pay for changes when you need them than every month.

How SIX9 quotes

Free review, then a written quote

We do not publish a single automation price, because a fair number depends on your tools and data. Here is exactly what happens instead.

  1. Describe one workflow
Use the automation request form. No payment is taken.
  2. Free review
We map the triggers, tools, data and decisions involved.
  3. Written quote
A quote for the build, an outline of what it includes, and an estimate of the running costs you would pay to each provider.
  4. Build, test, hand over
Tested with real examples, exceptions routed to a person, and a handover your team can follow.

How much does AI automation cost a small business in Australia?

Published Australian ranges put a first project of one or two workflows at about A$3,000–A$5,000, several connected workflows at A$5,000–A$15,000, and larger agency programmes from A$15,000 to A$50,000. On top of the build you pay running costs: AI usage, automation platform subscriptions and any hosting or support.

What is the cheapest way to start?

Check the tools you already pay for first. Many email, form, CRM and booking tools include rules, auto-replies and simple integrations at no extra cost. When a workflow crosses several tools or needs AI to read and summarise, start with one well-defined workflow rather than a large programme.

Are AI usage costs included in a build quote?

Usually not. AI providers bill usage per token to the account holder, so the running cost belongs to your business. At SIX9, AI usage, subscriptions and hosting are excluded from the build quote and estimated separately.

Is n8n cheaper than Zapier or Make?

It depends on volume and who maintains it. Zapier bills by tasks and Make by credits, while n8n bills its cloud plans by workflow executions and can also be self-hosted. Self-hosting removes the platform fee but adds hosting, updates, security and monitoring work.

Why do automation quotes vary so much?

Providers rarely define scope the same way. The number of systems, the quality of your data, how exceptions are handled, how much testing is done and whether support is included all change the price. Compare quotes line by line, not by the headline number.

How does SIX9 price automation?

We review one workflow for free, then send a written quote for the build with an estimate of the running costs. AI usage and software subscriptions are paid directly by you to each provider.
